How the Cohort Hub works

  • One link for nine required core sessions and optional special sessions.
  • Check-in, directions, surveys, materials, and your Readiness File.
  • For participants, facilitators, and speakers.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 1/16

Speaker notes · slide 1

The schedule, directions, attendance, surveys, materials, opportunities, and Readiness File live at one address that works on a phone. Tell the room you will have them inside the hub before this session ends.

Current members enter. Future members join the waitlist.

  • Cohort 2: use the access code and the email on your roster record.
  • Cohort 3: join the waitlist for future enrollment information.
  • The B.I.D. Academy is free. No payment, ever.

Cohort 3 waitlist

The B.I.D. Academy · Cohort 2 · Fall 2026 · 2/16

Speaker notes · slide 2

Separate the two paths clearly. People already enrolled in Cohort 2 use the hub and their roster email. People interested in the next cohort use the Cohort 3 waitlist. The waitlist does not open the current member hub.

Access code, then your email

  • Open the address on the screen or scan the QR.
  • Enter the access code.
  • Type your email address.
  • Sign the one-time photo/video release if it is not already on file.
  • There is no participant password or name list.

Speaker notes · slide 3

Do this live. Read the code out twice and leave it on the screen. Members enter the code, then the email on their roster record. If a required release is not already on file, they sign it once before session content opens. The device stays linked until sign-out or the inactivity limit.

Confirm your check-in when you arrive

  • No sign-in sheet, no clipboard.
  • Use I am here and look for the saved confirmation.
  • Only core sessions count as required attendance.
  • Special sessions add credit when attended and never count as a miss.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 4/16

Speaker notes · slide 4

Show the check-in action and saved confirmation. If a record is wrong, the member can flag an accidental check-in or ask an assigned facilitator or staff member to correct it. Be explicit that a special session is optional and only adds credit.

A Vendor Readiness File a buyer can score

  • Core deliverables, plus a Capability Statement listed as not scheduled yet.
  • Session 1: Your Brand Foundation and The Ninety-Second Decision Framework.
  • Then codes and SAM.gov, CMBL, compliance, pricing, cash flow, MSA, proposal.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 5/16

Speaker notes · slide 5

Open My File and show the progress, detailed attendance record, standalone Capability Statement item, and signed release download. Templates are in the Resources library, so nobody starts from a blank page.

Session pages: who, where, and what it produces

  • Assigned facilitator, time, and the current venue.
  • The deliverable that session produces, ready to check off.
  • Directions, surveys, calendar actions, handouts, and slides.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 6/16

Speaker notes · slide 6

Show one session page. The venue is not the same every week: members should use the address and Getting there link attached to that date rather than relying on memory.

Getting there has the current route

  • Correct venue, lot, entrance, and park-by time for each date.
  • One-tap directions, stadium map, and a printable travel guide.
  • Always check GroupMe before leaving home.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 7/16

Speaker notes · slide 7

Open Getting there. Show the date-by-date list, then parking and door instructions. Emphasize Suite 305 at Spark Arlington and the separate Arlington Sub-Courthouse location on September 30. The page opens from a shared phone link without asking someone to join again.

The Today card puts the session in reach

  • Check in and look for the saved confirmation.
  • Open the session page or an available pre- or post-survey.
  • Add the date, open registration, and check the travel reminder.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 8/16

Speaker notes · slide 8

Show the Today card before the long menu. It brings the session-day actions together: check-in, session page, the available survey, calendar and registration links, and nearby parking guidance. Below it, regular announcements can be marked Got it; important notices remain visible.

Wins & Asks

  • Post a win when something moves forward.
  • Post an ask when you need a contact or an answer.
  • Replies may include a resource, hub material, or useful link.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 9/16

Speaker notes · slide 9

Ask for one win out loud, then have that person post it while the room watches. Staff and facilitators can answer with a resource or link. Members can dismiss a post for themselves, restore it later, and archive a post they created.

Surveys and opportunities have their own pages

  • Complete before- and after-session surveys, then mark them finished.
  • Join donated tickets, registrations, tools, and giveaways.
  • See quantities, deadlines, waitlists, and recorded draw results.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 10/16

Speaker notes · slide 10

Show both tabs. Survey reminders only stay active for work the member has not marked complete. On Opportunities, members can select an allowed quantity, withdraw if plans change, and see whether they received a spot.

Every handout stays all cohort

  • Facilitators upload, staff review, the cohort gets it.
  • Newest first. Nothing expires.
  • Templates also live in the Resources library.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 11/16

Speaker notes · slide 11

Set the expectation on timing: material posts after review, usually the same day. Nothing gets emailed around, and last week's handout never disappears.

Your own side of the hub

  • Email and a password you set once. The device stays signed in.
  • First visit: email yourself a link, then create the password.
  • Use the section menu for travel, attendance, posts, materials, and member view.
  • On a phone, swipe through the compact assigned-session schedule.
  • See and correct attendance only for sessions assigned to you.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 12/16

Speaker notes · slide 12

Speak directly to facilitators. Sign in with the email CED has on file and a password set once. The hub confirms when it saves. Use reset if needed. Show the sticky section menu, assigned-session attendance, travel sharing, announcement attachments and references, material submissions, and participant-eye view. Contact details remain protected.

Cohort Admin runs the whole hub

  • Waitlist follow-up, engagement, attendance, survey reminders, and announcements.
  • Travel sharing, materials, opportunities, member and facilitator views.
  • Waivers, reports, exports, roster recovery, access, and the room screen.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 13/16

Speaker notes · slide 13

Use the Cohort Admin section menu to move between current operations. Show the waitlist dashboard and email drafts, audited attendance corrections, engagement and survey reminders, announcement and travel sharing, material placement, opportunities, member and facilitator views, waiver filing, reports, roster recovery, and access controls.

One search across the whole hub

  • Sessions, facilitators, materials, Readiness File items, resources.
  • Type two letters and jump straight there.
  • A month calendar shows what is next and what it produces.

The B.I.D. Academy · Cohort 2 · Fall 2026 · 14/16

Speaker notes · slide 14

Demonstrate one search: type a facilitator's name and land on their session page. Then show the calendar with the next session highlighted. The point is that nobody has to remember where anything lives.

Scan, enter the code, type your email

  • The room screen shows the QR and the code together.
  • Staff can reveal or rotate the code from Cohort Admin.
  • Add the hub to your home screen and it opens like an app.

Leave this slide up during the working part of the session. Walk the room and help anyone still not linked. Do not close it until every person has the hub open on their own phone.

Three things

  • Open the hub, complete the release, and confirm your name.
  • Add it to your home screen.
  • Join the cohort GroupMe.
